Job Description Summary

This position provides accurate customer service to Students, Faculty, and Staff, for developing and administering academic policy and procedures, building efficient administrative processes, and maintaining organized and clear academic records. Responsible for key academic lifecycle milestones: building the academic schedule, registration, exams, end of term processing, and commencement. The incumbent will assist with all records related functions and in coordination with the Registrar, will make continuous process improvements, reconceptualization’s, adjustments, and refinements to internal and external process as academic policy, resources, technology, or business needs change. Responsible for maintaining full operational efficiency of the office in the Registrar’s absence.

Job Description

Exams, Grades and End of Term Processing

  • Assist Registrar with the administration and delivery of the exam process including physical (room scheduling, coordinating proctors, supplies, etc.), policy (maintaining student anonymity, processing of accommodations, etc.), and technological solutions (exam software administration)

  • Enter Grades and oversee verification process

  • Perform end of term processing to ensure that all information has been updated. Process Cumulative Ranks and distinctions as defined within the law school policies. Determine and post academic awards.

  • Develops and creates reports for faculty, administration, and outside entities as requested.

  • Verify information to external agencies that comply with all FERPA policies.

Course Scheduling, Registration and Reporting

  • Perform term set up each term for the Law School in the student information system.

  • Assist the Registrar in preparing the system for registration, which includes entering the schedule, assigning course attributes, as well as produces registration time tickets for students in the various programs. This also includes verifying accuracy among all sites used for registration.

  • Assist in troubleshooting registration issues.

Degree Audits, Bar Forms and Reporting

  • Maintain degree audits.

  • Work with the University Registrar’s office as an enrollment and degree certifying official and compliance officer.

  • In coordination with Records Assistant, certify various bar forms.

  • Maintain and track historical bar information for internal reporting.

  • Monitor the academic retention processes.

Operational Oversight and Policy Administration

  • In conjunction with Registrar, assist in continued operational process improvement. If necessary, assist in analyzing and recommending new technology solutions.

  • In the Registrar’s absence, maintain full operational oversight of the office.

  • Interpret implement, and troubleshoot academic policies for students, faculty, and academic administrators. Advise faculty, staff, and students on the same



Works under minimal supervision.  Reports to the Law School Registrar.  Responsible for interpreting and upholding academic policies as they pertain to the student record including but not limited to registration, degree evaluation and certification. Provides training, work direction, and problem-solving assistance for student workers and other office personnel.

Required Qualifications

Bachelor’s degree plus three to five years of related experience or equivalent combination of education and experience. Experience in a Registrar’s Office in a Higher Education setting (i.e., student records and the student lifecycle: matriculation, registration, degree audit, grading and graduation) and with Student Information Systems. Strong communication skills, both oral and written, as well as the ability to work within deadlines while exercising sound judgment, tact, and professionalism. Ability to contribute to an equitable and collaborative work environment.

Preferred Qualifications

Master’s degree plus three to five years’ experience as an Assistant or Associate Registrar. Experience working at an accredited Law School and Law Registrar’s Office. Knowledge of Ellucian Banner Student and/or working knowledge of Workday Student. Knowledge of
