Job Description

The successful candidate will provide exceptional administrative support for the Director of Continuing and Professional Education, ensuring the office operates in a well-informed, professional, courteous, and efficient manner. The administrative assistant will ensure the Director is well-prepared and has materials essential for meetings and presentations; Independently work to manage administrative actions and resolve problems; Work with complex and confidential matters; Coordinate all logistical arrangements for meetings, office events, and guests of the department. This position also requires the ability to: carry out the daily functions for the office of the Director of CPE, use excellent judgment and decision-making skills to ensure the department is represented with professionalism and high integrity; Develop and maintain inter-office working relationships; Manage travel arrangements and reimbursements; Coordinate activities and events, and provide administrative assistance and increase office efficiencies. This position is responsible for fixed asset and records coordination. The successful candidate will be action-oriented, approachable, flexible, and maintain composure and a positive customer service approach in a high volume, fast-paced, professional office environment.

Required Qualifications

Previous experience providing executive-level administrative support in a professional office environment
Strong word processing, spreadsheet, database, and general office software skills
Experience drafting business documents/correspondence with strong editing and proofreading skills
Ability to maintain confidentiality, meet deadlines, and work with minimal supervision
Excellent interpersonal and communication skills with a superior customer service attitude and professional demeanor
Ability to learn and adapt quickly, managing and prioritizing multiple competing demands
Ability to thrive in a fast-paced environment
Ability to prioritize and rapidly change direction to meet short-notice deadlines
Experience organizing meetings and managing calendars

Preferred Qualifications

Bachelor’s Degree
Experience with university structure, policies, and procedures
Experience with Chrome River, Banner, HokieMart, and other Virginia Tech systems
Previous experience working with budgets and providing fiscal support
Competency using various communication technologies including Zoom
Prior administrative experience working at Virginia Tech

The successful candidate will be required to have a criminal conviction check as well as documentation of COVID-19 vaccination or receive approval from the university for a vaccination exemption due to a medical condition or sincerely held religious belief.
