Credential Coordinator – HigherEdJobs


Summary

This position is responsible for receipt and processing of incoming credentials for all applicants, as
well as requests transcripts on behalf of the student when possible. Coordinates and monitors the general performance of credential
uploading systems and application imports. Makes recommendations for design modifications and configurations to correct or improve technical
functions within Enrollment Support Services. Creates, runs and analyzes productivity and utilization reports.

Essential
Functions

Oversee and manages all operations relating to credentials.

  • Provides direction and guidance
    on the daily tasks and procedures completed by Credential Specialist, staff and student workers.

  • Carries out policies and
    procedures set forth by the Associate Director & Director.

  • Prioritizes and distributes daily assignments and special
    projects.

  • Monitor work flow to ensure proper measures are taken to successfully complete assigned
    duties.

  • Manages incoming mail to include sorting, authenticating and preparing for scanning and
    processing.

  • Knowledge of a large variety of credentials to determine whether it is an official or unofficial
    document.

  • Scans and uploads credentials to related record and enter data accordingly.

  • Provide training to
    staff as needed on proper scanning and uploading procedures.

  • Ensure credentials are attached and labeled correctly as well as
    legible.

  • Create leads as needed to attach credentials prior to application submission.

  • Assist with daily
    scheduled mailing projects/tasks

  • Complete any tasks related to credential processing.

  • Ensure scanners and
    printer have appropriate settings and are functioning properly.

Review, analyze and evaluate data and
technology.

  • Analyze data for validity and to troubleshoot possible issues.

  • Evaluate current processes and
    functions in order to recommend technological improvements that will allow for more efficiency.

  • Ensures that the uses of data
    through reports and integration are accurate.

  • Assess future data and technology needs.

  • Responsible for the
    testing of new systems and updates, making recommendations for improvements for operational success.

  • Coordinates staff
    training on all system changes and ensures staff obtain necessary permissions to perform their tasks.

Create, run and
manipulate reports.

  • Creates and runs reports based on the needs of Recruitment & Admissions.

  • Create and
    manage excel spreadsheets, manipulating data based on needs.

  • Compile data and reports necessary for quality control of data
    and integrations.

  • Generate reports and analyze to identify potentially problematic data and integrations, make corrections
    and report as needed to Department of Information Technology.

  • Provide guidance and assist with student record clean up and
    updating .

  • Collaborate with Department of Information Technology on research and resolution of data integrity concerns and
    integration issues.

Maintains web based information and databases and all integrations related to credential
services.

  • Performs Transferology and TES data imports and ensures accuracy of data .

  • Maintains transfer
    policy and equivalency information that is published on the Barry University website.

  • ¬†Ensure all integrations processes with
    all vendors are working properly.

  • Make recommendations for improved performance .

Organizational
Communication (written and oral)

  • Responds to internal and external communications from university community and students
    through email, texts, tasks, cases, and phone contacts.

  • Trouble shoots internal and external customer issues and/or
    complaints.

  • Requests information from appropriate sources to ensure output is accurate .

Additional
Duties

This position regularly receives work assignments
directly from the supervisor/manager, and
Director, Admissions Services, Consultant, AVP, Faculty, Salesforce tasks and
cases.

Qualifications/Requirements

  • High School diploma or GED is required.

  • A
    Bachelor’s degree is preferred.

  • An equivalent combination of education and experience may substitute for the Bachelor’s
    degree. 

  • 1-3 years of work related experience is required.

  • Working knowledge of concepts, practices and
    procedures and ability to use in varied situations.

  • Analyze, interpret, and resolve issues presented by Staff, as well as
    internal and external constituents.

  • Management and oversight of departmental projects.

  • Skilled in multiple
    areas of technology .

  • Effectively communicate with staff, students, internal and external.

  • This position
    requires the ability to work in a multi-ethnic, multi-cultural environment with students, faculty , and staff.

  • The goal of

  • Works collaboratively with all areas of Recruitment and
    Admissions, PACE advisors, faculty, and associate Deans to provide exceptional service to prospective, incoming and current
    students.
