GENERAL STATEMENT OF DUTIES:

Provide a broad spectrum of administrative and programmatic support, for
the Division of Diversity, Inclusion, and Community Engagement (DICE). Responsibilities include complex administrative duties requiring a
significant degree of confidentiality, skill, reasoning, understanding, independent judgment, decision-making, autonomy, initiative,
supervisory skills, and general knowledge of all departments within the University. Applicants must have a passion for supporting diverse
populations, demonstrated commitment to student success, a spirit of inclusive excellence, and an understanding of their role in the overall
recruitment and retention of students and their families to Framingham State University.

EXAMPLES OF SPECIFIC DUTIES AND RESPONSIBILITIES:

  • Maintain a high level of discretion associated with the
    confidential and sensitive nature of the duties and responsibilities of the DICE Division.
  • Provide administrative support for the VP
    DICE: manage calendars, schedule meetings, coordinate travel, organize mail, support general office needs, etc.
  • Maintain a welcoming
    space and inclusive approach which fosters belongingness, collaboration, and innovation: greet guests, answer phones, refer appropriately,
    etc.
  • Prepare, draft, and edit various documents, reports and correspondence for DICE Division
  • Provide administrative support
    (including coordinating and preparing for meetings, retreats, and events etc.) for DICE Division committees, including but not limited to:
    Council on Diversity and Inclusion, Bias Education Response Team, Hispanic-Serving Institution Taskforce, Community Engagement Workgroup,
    Beacon Awards, etc.
  • Oversee the DICE Division budgets and grants. Execute expenditures, purchase orders, contracts, invoices, etc.
    Ensure budget is balanced and provide ongoing reports to staff.
  • Provide programmatic support for DICE Division (i.e., reserving
    space, ordering food, assisting with marketing, ordering materials, etc.).
  • Assist with onboarding process, monitor compliance with
    new hire paperwork & training, follow-up as needed for the DICE Division
  • Support the development of an assessment evaluation plan to
    assess programs and manage data within the DICE Division
  • Participate in outreach phone calls and other communication efforts to
    students/families in support of retention efforts
  • Support CIE in outreach, recruitment, and retention efforts of students and
    student groups sponsored by CIE
  • Supervise, train, mentor student workers (when applicable)
  • Participate in professional
    development activities that aid in one’s ability to engage with diverse populations.
  • Responsible for the maintenance, updating, and
    migration of DICE materials on the university web presence
  • Accountable for ensuring that affirmative action, equal opportunity, and
    diversity are integrally tied to all actions and decisions in areas of responsibility
  • Perform other related duties and special
    projects as assigned

WORKING CONDITIONS:

Most work occurs in interior office environment. Regular travel between offices on
campus. Requires some night and weekend hours as needed.

Job Requirements:

MINIMUM
QUALIFICATIONS:

  • Demonstrated passion for supporting diverse populations, commitment to student success, and spirit of inclusive
    excellence
  • Ability to form strong relationships with multiple constituents
  • Highly organized, detail-oriented and able to
    multitask in a fast paced and complex environment
  • Demonstrate flexibility, accountability and ownership of tasks
  • Ability to
    maintain confidentiality and appropriate maintenance of sensitive material
  • Three or more years’ experience providing
    administrative/clerical experience to senior/executive staff
  • Proficiency with Microsoft Office: Outlook, Word, Excel, PowerPoint,
    Publisher or similar software
  • Excellent written and verbal communication skills
  • Knowledge of and experience using standard
    office equipment
  • Ability and willingness to adjust schedule as needed including some occasional weekend and evening
    hours

PREFERRED QUALIFICATIONS:

  • Ability to speak and read Spanish and/or Portuguese
  • Project management
    experience
  • Budget management experience

Additional Information:

This is a full-time, exempt,
benefits-eligible, non-unit position with an official title of Staff Assistant and a functional title of Executive Assistant. The annual
salary range is $57,000-63,000.

It is the policy of Framingham State University that all employees be vaccinated against COVID-19
